We are seeking a Project Manager (PM) responsible for managing and coordinating a large pipeline of turnkey energy efficiency projects from initiation through delivery.  This position is responsible for ensuring that customer projects within a program are individually and collectively managed to completion and to the customer's satisfaction.

The PM will gather information from customers, partners and internal stakeholders to develop the project scope, create technical specifications, and manage installation schedules. The PM may coordinate with a wide variety of internal stakeholders for support, including Sales (Customer Solutions), Technical Support Services, Analytics, Utility Solutions, Compliance, and Finance as well as customers, contractors, utility representatives and other parties to manage all projects from approval, to implementation, and signoffs. The PM serves as the customer's advocate and must possess strong problem solving and communication skills to keep the project moving on schedule and on budget, and to keep all stakeholders informed throughout the lifecycle of the project.

The PM is responsible for ensuring that projects follow the compliance requirements of the program. The PM is responsible for contractor management, job assignments, timeline tracking, processing change orders, direct customer engagement, and project QA/QC.

This role will work extensively with a proprietary software tool to assure timely delivery of services, accurate savings calculations, and thorough documentation of all services. This is a multi-faceted position requiring a combination of organizational and service delivery skills.  This position is based in Santa Cruz, California.

Responsibilities

  • Independently lead on internal project tracking and support from initiation through delivery and reporting.
  • Ensure that all targets and requirements are met and are completed on schedule.
  • Work closely with various internal and external departments to ensure successful completion of projects.
  • Inform leadership of key issues that may impact project completion, budget, or other results.
  • Requires quick learning and developing proficiency within the energy efficiency realm.
  • Works independently within the framework of the project management role.
  • Responsible for being the primary driver of coordinating and managing a large pipeline of energy efficiency projects from initiation through delivery.
  • Responsible for ensuring that customer projects are individually and collectively managed to completion and to the customer's satisfaction.
  • Responsible for concurrently managing multiple auditor pipelines.
  • Manage workflow and communication among customers, contractors, and program staff.
  • Apply available incentives and manage all requirements to ensure incentives are secured including but not limited to documentation, applications, supporting calculations, pre- and post- photos.
  • Contribute to program process improvement and documentation.
  • Manage program database of customers, jobs, equipment, and invoices.
  • Responsible for leading weekly project check ins with contractors to ensure projects are aligned with forecast.  
  • Manage contractor pipeline and activities to monitor job implementation progress and changes.
  • Manage and communicate change orders with customer, contractor and sales.
  • Work with internal technical resources to monitor and verify specifications in audits that have been performed either by an Ecology Action Auditor or by a contractor.
  • Maintain a project or customer-specific product list; may work with Ecology Action's Product Team to determine eligibility, negotiate pricing at scale, or verify eligibility for incentives.
  • Coordinate with the Product Team to assure the availability of equipment and contractors, including availability of appropriate on-site equipment.
  • Support Sales Team with Proposal Generation: Enter technical specifications into sales proposal generation tool; works with utility reporting structure to verify and claim incentives when relevant.
  • Manage the accurate creation of the sales proposal by re-working any changes with contractor/partner and other stakeholders.
  • Develop and maintain project schedules including regular project reviews with contractors; monitor project progress to ensure adherence to specification, budget and customer expectations; trouble shoot situations as they arise, involving internal technical resources whenever needed and escalate to management as needed; communicate any changes, delays or problems to all involved parties; manage material lead times and contractor implementation schedules.
  • Provide customer support for phone and web inquiries.
  • Provide data for inclusion in reports to management, clients, and external regulatory bodies. 


Required Qualifications, Skills and Experience

  • Requires 3-5 years prior project management or construction management experience or equivalent combination of experience and education.
  • At least 5 years of customer service experience.
  • At least 5 years of experience working in a professional office setting.
  • Bachelor's degree or certificate in Project Management or related field, or equivalent work experience. 
  • Requires independent judgment and problem solving.
  • Excellent project and task management skills.
  • A customer-oriented business philosophy.
  • The ability to quickly comprehend, and then clearly communicate technical information.
  • The ability to communicate clearly among staff and with outside parties via phone, email, and in person.
  • Strong ability to use standard MS Office products, particularly MS Excel.
  • At least 3 years' experience using database programs such as Salesforce
  • A high level of diplomacy in working with a variety of internal and external colleagues who possess varying skill levels and work styles.
  • Proven ability to meet project deadlines and work effectively within time constraints.

Desired Qualifications

  • Prior experience in the field of energy efficiency, commercial new construction or retrofits, energy storage, solar, or other related fields.
  • Understanding of energy efficiency technologies and delivery strategies.
  • Experience with auditing, work flow management and tracking tools.
  • Understanding of contractor law in CA or Construction project experience.
  • A Bachelor's degree in Construction Management or related field.
  • Experience working with Investor-Owned and/or Municipal Utilities.
  • Highly detail oriented with strong organizational and communication skills.
  • Able to develop and adhere to project schedules while also maintaining flexibility and the ability to adapt to constantly changing variables.

Driving an insured personal vehicle on company business is required, and mileage reimbursement is provided at the Federal rate.
